01Eligibility & Registration
- Registration is open to students and young professionals who meet the age and academic criteria published on the official registration page. IC reserves the right to request proof of enrolment or age at any stage.
- A registration is considered complete only once the Registration Fee has been received and a confirmation has been issued by the Secretariat. An unpaid or partially completed form does not guarantee a seat.
- All information submitted during registration (name, institution, contact details, portfolio preferences) must be accurate. IC may cancel a registration found to contain materially false information, without refund.
- Seats are allocated on a first-verified basis within each committee's capacity. Submitting a registration does not guarantee placement in a specific committee or country/portfolio; final allotment rests with the Secretariat.
- Delegates below 18 years of age may be asked to submit parental or guardian consent before confirmation.
02Selection Process
ICO MUN 2026 follows a two-stage selection process consisting of an application review and, where applicable, a follow-up interaction with the Delegate Affairs team. The Secretariat's decision on selection, waitlisting, or portfolio allotment is final. Being shortlisted at either stage does not, by itself, confirm a seat until the Registration Fee is paid and acknowledged in writing.
03Fees & Payment
- Current fee tiers (Early Bird, Regular, Late Entry) and their amounts are published on the Conference website and are subject to change until a registration is confirmed. Once confirmed, the fee applicable at the time of payment will not be revised.
- All payments must be made through the official channels shared by the Secretariat (currently via the linked registration form). IC is not responsible for payments made through unofficial links, third parties, or individuals claiming to represent the Conference.
- Fees cover access to committee sessions, conference material, and — where stated — delegate kits and refreshments. Travel, stay, and personal expenses are not included unless explicitly mentioned in writing.
- Any applicable taxes, payment gateway charges, or currency conversion charges are borne by the Delegate unless stated otherwise.
04Cancellation & Refund Policy
- Registration Fees are largely non-refundable, as they go toward committee planning, delegate kits, and logistics booked in advance on the basis of confirmed numbers.
- If a Delegate is not allotted a seat due to a committee reaching capacity after payment, IC will issue a full refund or, at the Delegate's choice, a transfer to a future IC conference.
- If the Conference is postponed or cancelled in its entirety by IC, Delegates will be offered a choice between a refund or credit toward a future edition, processed within a reasonable timeframe.
- Requests to withdraw after confirmation, for personal reasons, are evaluated case-by-case at the Secretariat's discretion and are not guaranteed a refund.
- All refund requests must be sent in writing to internal.ic.co@gmail.com from the same email used during registration.
05Code of Conduct
Every Delegate, Secretariat member, and guest is expected to uphold the standards of a respectful, professional diplomatic environment. The following apply without exception:
- Harassment, discrimination, or hostility on the basis of race, gender, religion, nationality, disability, sexual orientation, or any other personal characteristic will not be tolerated.
- Delegates must remain in character and in-committee decorum during formal sessions, while keeping all interventions respectful, factual, and free of personal attacks.
- Use of unparliamentary language, plagiarised position papers, forged documents, or impersonation of another delegation is strictly prohibited.
- Consumption of alcohol, tobacco, or any prohibited substance on Conference premises, and any form of physical aggression or threat, will result in immediate removal from the Conference without refund.
- Delegates must follow all instructions given by the Executive Board, Secretariat, and venue staff, including those relating to timing, dress code, and conduct outside formal sessions but within Conference-associated spaces.
06Committee & Procedural Rules
- Each committee (JCC, UNSC, AIPPM) follows its own Rules of Procedure, circulated to Delegates ahead of the Conference. These rules govern motions, voting, speaking time, and crisis updates where applicable, and take precedence over general custom in the event of a conflict.
- The Chairperson's ruling on any procedural matter during committee sessions is final and binding for that session.
- Position papers, where required, must be submitted by the deadline communicated by the respective committee's Executive Board. Late or missing submissions may affect eligibility for awards.
- Crisis committees (where applicable) may receive live updates during the Conference; Delegates are expected to respond within committee based on the evolving scenario as directed by the Board.
07Attendance & Participation
Delegates are expected to attend all scheduled sessions of their committee for the full duration of the Conference. Partial attendance, repeated tardiness, or unexplained absence may affect eligibility for awards and for the issuance of a Certificate of Participation. Delegates joining in hybrid/online mode must ensure a stable internet connection and a working camera and microphone for the duration of their sessions; connectivity issues on the Delegate's end do not entitle them to a refund or an extended session.
08Certificates & Verified Credentials
- Delegates who complete the Conference in line with the attendance and conduct standards above will receive an official Certificate of Participation and, where applicable, a QR-verified, professionally authenticated digital credential.
- Award certificates (Best Delegate, Outstanding Delegate, and similar distinctions) are issued solely at the discretion of the respective committee's Executive Board, based on performance through the Conference.
- IC reserves the right to withhold or revoke a certificate or credential where a Delegate is found, before or after issuance, to have breached this Code of Conduct or provided false information at registration.
09Photography, Recording & Media Consent
By attending the Conference, in person or online, Delegates consent to being photographed, recorded, or livestreamed as part of standard Conference coverage. IC may use such photographs, video, or committee excerpts for its own promotional and archival purposes — including its website and social media — without further notice or compensation. A Delegate who does not wish to be featured must inform the Secretariat in writing before the Conference begins, and IC will make reasonable efforts to accommodate the request.
10Intellectual Property
All Conference material — background guides, rules of procedure, branding, the Conference website, and related content — is the intellectual property of International Concilium or is used by IC under permission, and may not be copied, redistributed, or reproduced for any commercial or unauthorised purpose without prior written consent. Position papers and original written work submitted by a Delegate remain that Delegate's own work; by submitting them, the Delegate confirms the work is original and grants IC a limited licence to use excerpts for internal review, judging, and award consideration.
11Liability & Disclaimers
- IC makes reasonable efforts to ensure the Conference runs as scheduled, but is not liable for delays, changes, or interruptions caused by circumstances outside its reasonable control, including venue, technical, or connectivity issues.
- Delegates attending in person are responsible for their own travel, accommodation, meals (unless explicitly provided), and personal belongings. IC is not liable for loss, theft, or damage to personal property during the Conference.
- IC's total liability in connection with the Conference, however arising, is limited to the Registration Fee paid by the affected Delegate.
12Health, Safety & Hybrid Participation
Delegates attending in person must follow all venue safety instructions and disclose any relevant medical condition that may require accommodation ahead of the Conference. IC reserves the right to require a Delegate showing symptoms of illness to attend remotely, where the hybrid format permits, in the interest of the wider delegate body.
13Disciplinary Action
The Secretariat may, at its discretion and after making reasonable efforts to hear the Delegate's side, take disciplinary action for any breach of these Terms or the Code of Conduct. This may include a formal warning, removal from a committee session, denial of a certificate or credential, or a bar from future International Concilium events. Fees already paid are not refunded where removal results from a Delegate's own conduct.
14Privacy & Data Use
Information collected during registration (name, contact details, institution, payment confirmation) is used solely for Conference administration, communication, and the issuance of certificates and credentials. IC does not sell Delegate data to third parties. Data may be retained for record-keeping and verification of credentials issued. For any request to access, correct, or delete your data, write to internal.ic.co@gmail.com.
15Force Majeure
IC shall not be held responsible for any failure or delay in performing its obligations where such failure or delay results from causes beyond its reasonable control, including natural disasters, government action, public health emergencies, strikes, internet or power outages, or venue unavailability. In such cases, IC will make reasonable efforts to reschedule, move the affected sessions online, or offer an alternative as set out in the Cancellation & Refund Policy above.
16Amendments to these Terms
IC may revise these Terms & Conditions from time to time to reflect changes to the Conference format, policy, or applicable law. The version published on this page at any given time is the one in effect. Material changes affecting already-confirmed Delegates will be communicated by email where reasonably practicable.
17Governing Law & Jurisdiction
These Terms are governed by the laws of India. Any dispute arising out of or in connection with the Conference or these Terms shall be subject to the exclusive jurisdiction of the competent courts having jurisdiction over International Concilium's registered place of operation.
